Cancellation Policy

1. Cancellation by the Client

Cancellation charges are calculated based on the number of days prior to the scheduled departure date on which we receive your written cancellation request:

The above charges represent the minimum cancellation fees. Actual charges may be higher depending on non-recoverable costs already committed to hotels, cruise lines, ground operators, or other suppliers who impose their own stricter cancellation policies.

2. Non-Refundable Components

Regardless of when a cancellation is made, the following components are strictly non-refundable:

• Visa fees paid to embassies or consulates.
• Travel insurance premiums.
• Any transport or accommodation bookings marked as "non-refundable" at the time of booking.
• Booking and processing fees charged by ScenicEuro.
• Deposits or pre-payments made to third-party suppliers where those suppliers have a no-refund policy.

3. How to Cancel

To initiate a cancellation, please:

1. Send a written cancellation request to info@sceniceuro.com with your booking reference number, lead traveller name, and travel dates.
2. Our team will acknowledge your cancellation within 1–2 business days and confirm the applicable charges.
3. Any eligible refund will be processed within 7–14 business days of cancellation confirmation (see our Refund Policy for details).

4. Cancellation Due to Visa Refusal

In the event of a Schengen visa refusal:

• Documentation charges and visa fees paid to embassies are non-refundable.
• For the balance of the tour package, the standard cancellation schedule above applies from the date we receive written notification of the refusal.
• We strongly recommend purchasing travel insurance that includes coverage for visa refusals.

5. Cancellation by ScenicEuro

ScenicEuro reserves the right to cancel a tour in exceptional circumstances, including but not limited to:

• Minimum group size not being met (for group departures).
• Force majeure events: natural disasters, pandemics, war, government travel advisories, or other circumstances beyond our control.
• Failure to receive full payment by the due date.

In the event of cancellation by ScenicEuro (other than for non-payment by the client), a full refund of amounts paid to us will be issued within 14 business days, to the extent that costs can be recovered from suppliers. ScenicEuro shall not be liable for any additional losses incurred by the client (e.g., visa fees or travel arrangements made independently).

6. Force Majeure

ScenicEuro shall not be liable for any failure to perform its obligations arising from events beyond its reasonable control, including acts of God, pandemics, wars, terrorism, natural disasters, government restrictions, or strikes. In such events, we will work in good faith to offer alternative arrangements or credits, but refunds may be limited to amounts we are able to recover from suppliers.

7. Travel Insurance — Strongly Recommended

We strongly advise all clients to purchase comprehensive travel insurance at the time of booking, covering trip cancellation, medical emergencies, and related expenses. Many cancellation situations (illness, family emergencies, visa refusals) may be claimable under a travel insurance policy.

8. Amendments vs. Cancellations

Changes to travel dates, destinations, or traveller details that result in a materially different booking may be treated as a cancellation and rebooking, subject to the charges above. Please contact us before any such changes to understand the implications.
